What data do we collect?

WOL collects the following personal data:

• Personal identification information (this includes name, email address, phone number, address).

• Browser & device details - we collect personal data about how you use our Website and the computers or other devices, such as mobile phones or tablets, you use to access our Website.
• Start, sign or review a User Document – please refer to the General Website Terms and Conditions for more information on User Documents
• Any other personal data which you might provide to us relating to your wedding.

How do we collect your personal data?

You directly provide WOL with most of the personal data we collect. We collect personal data and process personal data when you:

• Voluntarily complete a customer survey, provide feedback/reviews on any part of our Website or message boards or via email, enter competitions, or make contact with us in anyway or ask to be included on our mailing list.
• Use or view our website via your browser’s cookies.
• Register for a WOL account.
• Install the WOL app
• Create or edit your account user profile.
• Send or receive messages through your WOL account.

WOL may also receive your personal data indirectly from the following sources:

• WOL registered suppliers (“ Suppliers”), Suppliers may give us your personal data. For example, if a Supplier wants you to sign a User Document through our Website, they will give us your email address and name.

Personal data we collect & process on behalf of Suppliers

• When you interact with Suppliers to review and/or sign contracts through WOL Contracts, we process and store certain personal data on the Supplier’s behalf, as a data processor and in accordance with their instructions. In those instances, the Supplier is the data controller and is responsible for most aspects of the processing of the personal data. If you have any questions or concerns about how personal data is processed in these cases, including how to exercise your rights as a data subject, you should contact the Supplier. If we receive any rights requests concerning instances where we act as data processor, we will forward your query on to the relevant Supplier.

Who will we share your personal data with?

• We may share your personal data with Suppliers who we think you might be interested in or where you have requested that we share your personal data with Suppliers.
• We may share your personal data with other companies we use who support our business. These companies provide services such as IT and legal services. We have contracts with our service providers that address the safeguarding and proper use of your personal data.
• We may share your personal data in accordance with applicable law and, as required, with Government entities, the Courts or as part of litigation. We also may share your personal data when there are threats to the physical safety of any person, violations of this Privacy Policy or the General Website Terms and Conditions, or to protect the legal rights of third parties, including our employees, customers, or the public.
• We may share your personal data with a third party, as part of a due diligence process in contemplation of a merger or sale of our assets or business. If any sale or merger occurs, we will provide notification of any changes in control of your personal data, as well as the choices you may have.

How will we use your personal data?

In general, we collect, use, store, and process your personal data to provide services to you, to fix and improve those services, to develop new services, and to market our Suppliers and their products and Services.

WOL collects your personal data so that we can:

• provide you with quotes from Suppliers when requested to do so by you.
• Connect you with Suppliers you are interested in or may be interested in.
• Facilitate you entering in to contracts with Suppliers when requested to do so and record details about what happens with the User Documents, for example, who has viewed or signed the User Documents, the devices used and when these events occur.
• Resolve technical issues, prevent, investigate and resolve issues such as fraud or unauthorised access or breaches of the General Website Terms and Conditions.
• Email you our newsletter, special offers and competition details that we think you might like.
• Website analytics.

Messaging & Enquiry Relay

When you submit an enquiry to a WOL Supplier through the Site, your message is delivered through WOL's messaging system. Depending on the configuration of the WOL Supplier's account, subsequent messages between you and the WOL Supplier may also be routed through WOL's servers rather than sent directly between email addresses. When messages are routed through WOL's messaging system:

• The content of messages sent and received is stored in our system, along with associated metadata such as sender and recipient details, timestamps, and read receipts.
• We use this data to: deliver messages between you and WOL Suppliers; provide an inbox and message history within SupplierHQ; monitor response times and engagement to improve our service to couples; detect and prevent fraud, scams, and misuse of the platform; and assist in dispute resolution between couples and WOL Suppliers.
• In certain cases, our system may scan and mask sensitive personal information (such as email addresses or phone numbers) within messages to protect users from unsolicited contact.
• Message content is retained for 5 years in accordance with the retention schedule below.
• WOL does not sell message data to third parties or use it for third-party marketing purposes.
• WOL does not routinely monitor or read the content of messages between couples and WOL Suppliers. Access to message content is restricted to authorised WOL staff and only where necessary for platform safety, dispute resolution, customer support, or compliance with legal obligations.

WOL Suppliers should be aware that, where email relay is enabled on their account, replies to enquiry emails are routed through WOL's messaging system and stored on WOL's servers. WOL Suppliers are responsible for ensuring that any personal data they include in messages is shared in accordance with their own data protection obligations.

When a WOL Supplier replies to an enquiry through SupplierHQ or the email relay, WOL may record when the reply is opened and when links in it are clicked. We do this with a small image and tracked links in the email. This information is shown to the WOL Supplier in SupplierHQ so they know their reply has been received, and is used to work out the response-time information shown on WOL Supplier listings and to send reminders about enquiries that have not been answered. Open and click information is kept for the same period as the message it relates to.

A WOL Supplier can ask us to switch off email relay on their account at any time by contacting info@weddingsonline.ie. When relay is off, replies the WOL Supplier sends from their own email address go directly to the couple and are not stored by WOL. The original enquiry, and any messages sent from within SupplierHQ, are still stored as described above.

While couples and WOL Suppliers may choose to communicate outside of WOL's messaging system, doing so limits WOL's ability to provide support, resolve disputes, or protect either party in the event of an issue.

The lawful basis for this processing is legitimate interest — specifically, WOL's interest in facilitating, securing, and improving the enquiry and communication service that is central to the Site's purpose.

How do we store your personal data & Lawful basis?

WOL securely stores your personal data at Swords Business Campus, Balheary Road, Swords, Co Dublin and electronically. WOL takes the security of your personal data seriously and ensures that both hard data and electronic data is securely stored. Electronic data is accessed via secure connections and is stored in a high-security data centre with multiple backup and security systems. Multi-factor authentication protocols are used for server access.

WOL’s lawful basis for collecting and using the personal data described in this Privacy Policy will depend on the personal data and the specific context in which we collect or use it.

WOL will retain your personal data for the following periods and on the following lawful basis:

On the expiry of these periods, WOL will permanently delete all of your personal data from its servers.

Marketing

We have designated the email address info@weddingsonline.ie as the DSA Article 11 and the DSA Article 12 single point of contact for users and for direct communications with the European Commission, Member States’ Authorities, and the European Board for Digital Services in connection with the application of the DSA. English is the preferred language for communication with this point of contact.

Google account data

If you connect your Gmail account to SupplierHQ, or you are a member of our team who connects Gmail or Google Calendar to our HQ tools, our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to send replies on your behalf and to show you your own conversations with couples who enquired through weddingsonline.ie, and to offer to add enquiries that reached your inbox from other wedding directories or your website. Those emails are processed by an automated service (Google Gemini) to recognise bookings and to pick out the enquirer's details; no person at weddingsonline reads them, they are not used for advertising, and they are never shared with anyone other than the mailbox owner. Calendar data is used only to book and cancel calls with our team. You can disconnect at any time from SupplierHQ; when you do, we stop reading your mailbox immediately and delete what we had read. You can also remove access from your Google Account permissions page.
